How BR One helped a global music merchandise supplier with its IT technology transformation

This case study shows how we successfully helped a global music merchandise supplier upgrade its current Microsoft NAV platform to Microsoft Dynamics 365 Business Central.

The problems the client was facing

Our client, which supplies merchandise to the global music industry, needed help upgrading its ERP software to the more efficient Microsoft Business Central.

As a result of its outdated computer software it was not able to produce accurate financial records and employees were not following correct processes and procedures.

The client also needed better coordination with third-party partners to gather information for reporting back to artists and bands.

Specifically, the client needed BR One’s help to look at its options and to put a capability assessment in place to see if Business Central was the right solution for its needs and objectives.

How we helped

We worked closely with the client in several different areas during the project such as finance, sales, demand planning and forecasting, purchasing, product information management, supplier integrations, and Power Bi reporting.

There were a number of phases we needed to follow for the successful completion of the project, and they included:

  1. Conducting an assessment of the client’s capabilities and then assessing the results against the main capabilities of Business Central.
  2. Producing a document outlining the suitability of Business Central for the organisation’s needs. We emphasised the benefits of the software, how it could be used to meet the client’s objectives and challenges, and how it could support its operations – including increasing business efficiency.
  3. Collaborating with the client’s existing implementation partner regarding the costs of implementing the new software and providing insight into the financial implications.
  4. Producing a plan and structure outlining key phases, milestones to reach and associated costs at every stage of the project.

Conclusion

Our client needed our help to transition from its NAV computer system to Microsoft Business Central. It needed to overcome problems with its outdated customised software, infrastructure and incomplete, incorrect, or irrelevant data.

As a result of our work, the client was able to:

  • Produce more accurate financial statements, and overcome issues caused by its old software.
  • Streamline its operations with a better flow of information and reporting to artists and bands.
  • Enable its employees to adhere to the new processes better, which helped the client’s overall business operations.
  • Experience enhanced decision-making because of the integration of Power BI reporting.
  • Gain a clearer understanding of implementation costs.
  • Benefit from the high-level implementation plan and governance structure – which enabled the successful IT transformation.
